Wedding co-orindator – Maternity cover

As a Wedding Co-ordinator you will be responsible for proactively selling the Hotel and Exhibition Centre whilst providing excellent customer service, working accurately, efficiently and effectively to quality standards set by the management team. You will work closely with the Sales Office Manager to meet targets as well as account manage new and existing clients.

You will sell the Hotel, Exhibition Centre and the Hill Climb across varied market sectors through proactive sales activity. The role will be field based focusing on new business exploiting exceptional sales skills with effective and successful results. You will identify and pursue new business sales opportunities both by use of the company database, networking, B2B opportunities, exhibitions and client entertainment.

The company now offers a stylish setting for weddings and events with extensive conferencing and exhibition facilities, including the Regent centre, which is one of the largest exhibition spaces in the West Midlands.

Reports to: Sales Office Manager

Responsible for: No direct reports

Hours of work: Includes evenings, weekends and bank holidays

Key Responsibilities

Team leadership

To be pro active in delivering the teams objectives

Customer service

  • Regularly review work processes for areas of improvement
  • Provide effective communication and co-ordination of all weddings ensuring successful service delivery of all events
  • Advise clients of all products and the wider Greyfort Group

Operational management

  • Deliver clear communication and co-ordination of all conferences and events, which includes weddings, ensuring successful service delivery of all events
  • To have a good overall understanding and knowledge of the Hotel and its wedding facilities
  • To have a full knowledge of the Hotel PMS system, departmental systems, procedures and standards
  • Ensure data entry is clear and concise in line with KPI targets set by the Sales Office Manager
  • Proactively identify upselling opportunities in order to continuously grow wedding revenue
  • Produce accurate function sheets for each event with clear billing instructions and communication of these to the operations team, updating any amends or changes
  • Convert enquiries that come through the Sales Office and meet conversion targets set by the Sales Office Manager
  • Conduct show rounds for weddings and other events, as required, ensuring that accurate information is given to the appropriate enquiry
  • To comply with company image standards
  • To maintain confidentiality on all business matters at all times

Relationship management

  • Develop and maintain collaborative relationships with key partners
  • Establish and maintain active and constructive relationships with other teams in the organisation, with a close working relationship with operations.

  • Liaise effectively with colleagues in the operations team to ensure customer demands and operational requirements are always fully known and evaluated
